Cost and money
Is it really free?
The platform is free to run: programs, trips, rooming, chaperones, permission forms, the bus, the itinerary, and oversight. There is no subscription, no per-seat fee, and no setup cost. When families pay online, one service fee is added to what the family pays, and it covers two things: Stripe's payment processing, at Stripe's standard published rate, plus Jettova's platform fee of 1.5% of the trip share. On a bank transfer the whole service fee is capped at $15 a payment, Stripe's own cost included. The school still receives 100% of the trip cost.
What does the service fee actually come to?
It depends on the size of the payment and on how the family pays, so here is a real example. On a $450.00 trip share a family pays $470.71 by card, a service fee of $20.71, or $465.00 by bank transfer, a service fee of $15.00. The school receives $450.00 either way. On a card, Stripe charges 2.9% plus $0.30 per transaction and Jettova's platform fee is 1.5% of the trip share, neither of them capped. A bank payment costs whichever is lower: the card price, or the trip share plus $15, so it is never the more expensive option: up to $324.00 the two come to exactly the same total, and above that bank is cheaper by a margin that grows with the payment, reaching $39.69 on a $1,200.00 share. Because card processing has no ceiling and carries a fixed $0.30 per payment, the card fee is a bigger percentage on a small payment and a smaller one on a large payment, which is why we show amounts rather than a single rate. Where does the money go?
Into the school's own account. For family payments the school is the merchant of record through Stripe, so the funds settle to the school and Jettova never holds them. Because the fees are added on top and paid by the family, the school receives 100% of the trip cost.
How do families pay?
Each family pays their share, and can split it into installments. Card and bank transfer are both offered on every trip-share payment, and the service fee always reaches checkout as its own labeled line beside the trip share. On a trip without an installment plan, the family also sees the exact card total and bank total side by side before choosing. A bank transfer never costs more than a card, and on a larger payment it costs less: up to a $324.00 share the two are the same price, and on a $1,200.00 share the bank option saves a family $39.69. Every pay button names its exact total and says whether bank saves anything on that amount, so nobody has to work it out. Bank payments clear in a few business days; card is instant. The service fee is shown as a separate line, so the school gets the full amount either way. Card payments are handled by Stripe, so card numbers never touch Jettova. You can also collect cash or check and mark those as received, with no service fee.
Who is the merchant of record?
For payments families make toward the trip, the school is the merchant of record: the charge settles to the school's own account. For managed hotel bookings arranged through our travel partner (a separate, optional feature), Jettova is the merchant of record for that booking.
What happens with refunds?
If a family drops out and the program's own refund policy allows it, the organizer can refund them from the product. The school sets that policy, and families see it before they pay. The refund is issued on the school's own account, the family gets their whole payment back including Jettova's platform fee, and a partial refund returns that fee in proportion. No surprise charges to the family. The one thing to know in advance: Stripe does not return its processing cost on a refund, which is Stripe's standard policy rather than a Jettova choice, so the school absorbs that part. On a $450.00 payment that is about $13.95 by card and about $3.72 by bank.
Setup and using it
How long does setup take?
Request your program and we reply within one business day to set it up with you. After that a trip takes a few minutes: set the destination, the dates and the cost per student, then share one invite link with the families. There is no procurement cycle and no implementation project.
Do families need to download an app or create an account?
No app. Families join in a browser with a quick free account, so there is an adult of record for the trip, from the trip link or a personal email invitation. A school that wants tighter control can create families' accounts itself and send each family a one-time setup code; the family still chooses its own password, which staff never see. It works on any phone or computer.
Can other coaches or parent volunteers help me run it?
Yes. You can add co-organizers who help manage the trip, and a principal or athletic director gets an oversight seat across the whole season, with the final approval.
What if a student does not have a phone?
It is the parent or guardian who joins and pays, as the adult of record. The trip is coordinated with the adults, not the students.
Data, safety, and oversight
What data do you collect about students?
Only what a trip needs: students' names, the adults' contact details, who is going, who has paid, room, group and chaperone assignments, and permission-form status. On the day of the trip we add headcounts, the people each guardian says may collect their student (name, relationship and phone), and a record of who collected each student and when. We also keep what people write in the trip (messages, questions and poll answers), organizers' notes on financial aid, and the signature record when a family signs a form (typed name, time, IP address and browser). We don't ask for medical or health records. If your school's own permission form asks for health details, the signed copy a family uploads holds them, stored privately. Our automatic form check is switched off; if we ever switch it on, our AI reads that form to check it looks signed.
Can my principal or athletic director see and approve the trip?
Yes. Your principal or athletic director gets an oversight seat across the whole program: every trip, its roster with families' contact details, the money, and a board-ready proposal. They are the approver, and a trip can require their recorded sign-off before it goes out. They can also run trips and the program's settings. They never see medical records, legal identities or signed forms.
Is it secure, and do you sell our data?
Payments run through Stripe, a PCI-compliant processor, with the school as the merchant of record. We keep the data we collect to a minimum. We never sell students' or families' data from a school trip, and never use it for advertising. A data processing agreement is available for your administration to review.
The trip itself
Does Jettova book the trip?
Your staff book the group's travel at standard prices, using links Jettova fills in with your destination and dates, then record each booking on the trip. Families pay their share to the school, online or by cash or check. Our AI drafts a day-by-day itinerary from your destination and dates, and the group can vote on the details.
How do permission forms work?
You share the form once, families upload the signed copy, and you can see exactly who is still outstanding instead of counting paper slips on the bus.
How do rooming and chaperones work?
You assign students to hotel rooms and chaperones on a simple board, in the same place as the payments and the roster. You can also put students into groups, each led by chaperones. A draft changes nothing; chaperones see their group only once you publish it, and a chaperone sees no one until you record their background-check clearance.
How does pickup at the end of a trip work?
Each guardian lists who may collect their student, and only the guardian can let their student leave on their own. At the end of the trip, staff or a chaperone pick who collected each student and Jettova records who released them, to whom and when. Releasing a student to someone not on the list needs a reason and a second staff member to confirm.
What can a chaperone see?
Nothing about anyone until staff record their background-check clearance. Then, on the day, they see the first names of the students in their own group and who in it is not travelling. Once you publish groups, they also see their group's pickup lists and can call their group's guardians, or an adult participant's own number. Never other groups, and never another family's payments or forms.
